This Opportunity

Heitman’s Tokyo Office is seeking a Senior Associate, Client Service & Marketing (the “Senior Associate”) to join our Asian Client Service & Marketing team and provide day-to-day support to senior members of the team.


In collaboration with Senior Client Service & Marketing colleagues, the Senior Associate will work across a variety of Asian (predominantly Japanese) investors, including, but not limited to, public and corporate pension fund, sovereign wealth fund, financial institution, and capital raising partners such as mutual fund company and distributor. In this role, the successful candidate will seek to provide senior colleagues seamless support to serve clients with distinction and achieve the firm’s capital raising targets. The Senior Associate will help represent Heitman investment strategies across private equity real estate, pubic securities and private real estate debt. It is expected that the successful candidate will be a collaborative, goal-oriented professional with relevant experience in the institutional asset management business, bring a strong interest in developing institutional relationships over time and possess a service orientation. The ability to be self-directed, organized and results oriented will be critical to success.

In order to better position the sales team to serve clients and achieve business development goals, the Senior Associate is designed to develop better operational leverage for the senior sales and strategic relationship personnel, as well as provide business critical back-up for these Client Service & Marketing leaders. The Senior Associate will work closely with colleagues within the Client Service & Marketing function as well as across the firm with a primary goal of providing end-to-end support and helping the team provide distinctive client service.

The Senior Associate will need to have both depth of knowledge of the investment business and related investment products, a collaborative orientation and a tenacious demeanor to ensure client requests are met swiftly and new business development opportunities are appropriately handled to best position the firm to win.

The responsibilities of a Senior Associate, Client Service & Marketing include, but are not limited to:

Client Service

  • Assist Asian Client Service & Marketing employees to prepare reports, presentations, and various documents
  • Prepare regular (daily, weekly, monthly, quarterly, and annually) market/performance reports and presentations.
  • Continuously evolve and update the firm’s database and gather data, news, information for reports and marketing material
  • Respond to client requests for information, inquiries on accounts or funds, and report on investment performance or products, including, but not limited to, RFPs and fund surveys
  • Act as a liaison for Asian (primarily Japan) domiciled funds’ operation, including, not limited to, properly delivering trade information, working out cash management issues, and bringing in appropriate Heitman professionals with fund operation/trading expertise to meet client needs


Sales and Sales Support

  • Coordinate materials preparation
  • Assist with prospect meeting follow-up
  • Conduct market and competitor research
  • Assist with initial prospect qualification and preparation of briefing documents
  • Track prospect development and serve as champion for the firm’s CRM
  • Monitor news and industry developments
  • Assist with development of annual strategic marketing plan
  • Efficiently manage and prioritize workload to maximize use of resources given opportunity set
  • Partner with Client Service & Marketing Team in enhancing RFPs and marketing collateral
  • In partnership with marketing team members, quarterback RFP submissions, including:
    • Working with colleagues to ensure timely completion of submission
    • Review documents for clarity and content as required
    • Create meeting briefing notes as required; assist with meeting follow-up as required
  • Provide back-up for business at conferences as required
  • Collaborate with Client Service & Marketing colleagues to create more operational efficiency and improve quality and timeliness of deliverables


Key performance Indicators

  • Catalyst to achieving annual financial revenue and AUM targets
  • Development and execution of “Key Client Growth Plans” for the firm’s largest, most strategic client relationships
  • Exceptional collaboration with Client Service & Marketing colleagues
  • Coordinate client effort on smaller (e.g. Tier II) clients
  • Coordinate client relationship review meetings; participate as required

  • Minimum of 5+ years of asset management marketing, client management or sales experience
